NASSCOM Job Fair (Hybrid Edition)

Introduction:

NASSCOM, a not-for-profit industry association, is the apex body for the $227 billion dollar IT BPM industry in India, an industry that had made a phenomenal contribution to India’s GDP, exports, employment, infrastructure and global visibility.

NASSCOM is focused on building the architecture integral to the development of the IT BPM sector through policy advocacy, and help in setting up the strategic direction for the sector to unleash its potential and dominate newer frontiers.

FutureSkills Prime, the National Digital Skilling Platform, is the initiative by NASSCOM working to bring the industry, academia and government together for enabling digital skilling at scale.

After successfully organizing the virtual career fair, NASSCOM again come up with the second edition of their career fair, NASSCOM PRIME Career Fair in association with FutureSkills PRIME. NASSCOM planned to organize this Career Fair in hybrid mode. As they were organizing the NASSCOM Job Fair in hybrid mode, they have brought in some stakeholders for the job fair.

The Challenge:

After successfully catering 32,000 attendees, this time NASSCOM was expecting some 50,000+ attendees for this hybrid edition. And with hybrid mode comes in light, NASSCOM team was looking for the platform that is well-versed with the co-ordination between physical and virtual venues.

Below are some of the requirements from NASSCOM for the event-

  1. Detailed candidate information to be collected from the candidates.
  2. If user is registered with FutureSkills PRIME or not. Id not then make him/her register for the same.
  3. Job seeker should upload and submit his/her resume to the employer. Job seeker should search jobs by applying some filters.
  4. A platform where attendees can apply to the jobs and then they can appear for the interviews at the physical venue.
  5. A separate dashboards for different stakeholders (state governments) that too will show the data of the candidates who registered for their states.
  6. Organizers should be able to mark the attendance of the physical attendees.
  7. Job seekers like registration form for employers to for screening their application to be recruiter.


Here is how nasscom has pulled off their first edition of their Virtual Career Fair.

Candidate registration forms to collect right information:

With ExpoSim’s custom registration form, organizers can collect the desired information from the candidates. After registration, job seekers can login to the job fair with their registered email ID and passcode. After logging-in, a secondary form is there for the candidates to upload their CV and other educational details. This is nothing but a profile building form.

Filling out the secondary form is must. failing which job seekers won’t be able to apply for the jobs.

API based registrations verification:

NASSCOM team demanded that they the registration must be verified with FutureSkills PRIME platform because the eligibility criteria for participating in the job fair was that attendees must be registered to the FutureSkills PRIME platform and if one was not registered on FutureSkills PRIME, he/she must register to it after registering to the job fair.

For the same we used API integration based registration between Job fair on ExpoSIm and FutureSkills PRIME platorm. Using the API integration, when someone registers for the job fair, his/her email was checked on FutureSkills PRIME database. If the registrant’s email ID found out already registered on FutureSkills PRIME, they he/she can login to the job fair and apply to the job vacancies.

If registrants email ID is not found on FutureSkills PRIME, then he/she will get an email to register to FutureSkills PRIME and after verifying the details on FutureSkills PRIME, he/she can login to the job fair.

Job search and job application:

In Job fair module of ExpoSim, we have provided a Job Search feature using which attendees can search the suitable jobs by applying filters like Job Locations, Skills and Experience levels.

Job seekers can also apply to the jobs by directly visiting the booths of the employers. After applying the jobs, job seekers can track their application status as well as their interviews.

Virtually apply to the jobs and appear for the interviews at the physical venue:

During this hybrid job fair, one of the requirement from NASSCOM team comes as interviews will be done physically. So they planned a flow in such a way that job seekers can apply to the jobs virtually through the ExpoSim platform few days before the event at physical venue. As job seekers apply to the jobs, employers started screening the job applications they have received.

After screening recruiters had rejected and shortlisted the applications for the interviews. After shortlisting, recruiters scheduled the interviews of the candidates on the physical job fair day. So on the day of the job fair, job d=seekers appeared for the interviews on their scheduled time.

Registration form for recruiters:

One of the important requirement from NASSCOM was to create and add a registration form for the employers on the job fair landing page. So that they can get the relevant recruiters for this job fair. Using this, recruiters registered themselves for their participation in the job fair. e

The main motive of NASSCOM for this features was to screen the applications of the recruiters and get the relevant recruiters. To achieve this we developed an employer registration form from scratch and a special exhibitor approval feature. Using this feature NASSCOM team screened the recruiter’s applications and approved or rejected their applications based on their criteria. After approval, NASSCOM team allots a booth to the employers to showcase their job vacancies.

Dashboard for the stakeholders:

ExpoSim provided all the analytics of any event hosted on it. for the job fair solution, organizers get the analytics like, number of candidates registered, number of candidates logged-in, number of jobs applied, number of interviews scheduled, number of job offers provided.

But as NASSCOM was holding the job fair in hybrid mode on the virtual as well as physical venues, they have associated with state governments of those respective venues. They have also partnered with some other non-profit organizations for this fair and for the same, NASSCOM demanded separate dashboards that will track the data of the job seekers who participated for those venues.

We had created different dashboards for different stakeholders and showed the job seekers data to it. The job seekers data showed on the stakeholders dashboard is as follows:

  1. Number of job seekers registered for the job fair at the respective locations.
  2. Number of jobs applied at that job fair location.
  3. Number of interviews scheduled.
  4. Details of all the job seekers registered for job fair (all the details they have filled in primary and secondary form).
  5. Details of the jobs applied (details like name of the job seekers, name of the company to which job applied, and the status of job application).
  6. Details of the interviews scheduled (details like name of the job seekers, name of the recruiter, time of the interview and the status of interview).


Attendance of the candidates at physical venue:

After applying jobs virtually, job seekers has to appear for the interviews at the physical venue. NASSCOM wants to track the attendance of those job seekers. For this NASSCOM used our one of the best hybrid event solution, ExpoSim mobile app.

After registered to the fair, job seekers received a QR code in their registration email. QR code was provided for the attendance at the physical venue. On the day of the job fair at physical locations, NASSCOM team scanned the QR codes of the attendees and marked their attendance for the career fair.

Results and Conclusion:

So this how NASSCOM used ExpoSim job fair solution to host its most prestigious hybrid job fair. This job fair turn around to be huge success with 54,000 registrations and 80+ employers registered for this. With our customized dashboard not only organizers have received the analytics of whole career fair, but also all the stakeholders too get the analytics.
